This Privacy Policy explains how Note AI - Genius Note Taker ("Note AI", "we", "us"), an app published by Furia App Studio, handles your information. It applies to the Note AI mobile app and the accompanying web services. By using Note AI, you agree to what is described here.

The information we handle #

Meeting content you create #

  • Audio recordings. Audio you record in the app, or audio files you import from your device. This is the core input to the product.
  • Transcripts and speaker labels. The text produced from your audio, split by speaker, with timestamps and confidence scores.
  • Speaker names and voice profiles. If you name a speaker, or enroll a voice so Note AI recognises the same person in later meetings, we store that mapping and the voice embedding derived from it. Voice embeddings are mathematical representations — they are not stored as playable audio clips.
  • AI output. Summaries, decisions, action items, risks, deadlines, open questions, and the answers produced when you chat with your meeting history.
  • Notes and edits you make on top of any of the above.

Account and workspace information #

  • Your email address, display name and, if you sign in with Google or Apple, the account identifier they return to us. We never receive your password for those accounts.
  • The organisation or workspace you belong to, your role in it, and who invited you.
  • Subscription status received from the Apple App Store or Google Play. We never receive your card number or full payment details.

Technical information #

  • App version, device model, operating system version, language and region.
  • Crash reports and diagnostic logs.
  • Aggregate usage events (for example: a recording finished, a summary was opened) used to find broken flows and prioritise work.

Note

We do not collect your contacts, your photo library, your location, or the content of other apps on your device. The microphone is used only while you are actively recording in Note AI, and the app shows a visible recording indicator the whole time.

Note AI is a recording tool, and recording other people is regulated differently in different countries. Some jurisdictions require the consent of every participant, others require only yours.

You are responsible for having the legal right to record each meeting and for informing participants that a recording and an AI transcript are being made. We give you the tools; we cannot verify the consent of people in your room. If a participant objects, stop the recording and delete it.

Why we process your data #

How a recording is processed #

  1. The audio is uploaded over an encrypted connection to our storage.
  2. It is sent to a speech-to-text and speaker-separation engine to produce the transcript. Which engine handles it depends on the language of the meeting.
  3. The transcript — not the raw audio — is sent to a large language model to produce the summary, decisions and action items.
  4. Transcript passages are converted into embeddings so you can search your history and chat with citations.
  5. The results are stored in your account until you delete them.

Important

No training on your data. Our agreements with the AI providers below require that your audio, transcripts and prompts are not used to train their models. Content is processed to return a result and then dropped by the provider, subject to short abuse-detection windows some of them apply.

Who else processes your data #

We do not sell personal data and we do not share it for advertising. We use a small number of processors, each under a contract that limits them to acting on our instructions:

ProcessorWhat it doesData it sees
Cloudflare R2Object storage for audio and generated filesRecordings, exports
Google Cloud (Vertex AI)Speech-to-text, embeddings, language modelsAudio and/or transcript text
OpenRouterRouting to language models for summaries and chatTranscript text and prompts
AssemblyAISpeech-to-text and speaker separationAudio
Recall.aiJoins an online meeting to capture audio — only if you enable the meeting-bot featureMeeting audio and joining metadata
Apple / GoogleIn-app purchases, subscription state, crash reportingPurchase and device data

Our own application servers and databases are operated by Furia App Studio. Where a self-hosted engine can do the job on our infrastructure, we prefer it and no third party sees the content at all.

We may also disclose information where we are legally required to, or where it is necessary to protect our rights, users, or the public — and we will tell you unless the law forbids it.

International transfers #

Our processors operate data centres outside your country, including in the United States, the European Union and the Asia-Pacific region. Where personal data leaves its country of origin, we rely on the appropriate transfer mechanism — Standard Contractual Clauses for the EU/UK, and the consent and notification rules of Decree 13/2023/ND-CP for Vietnam.

Who in your organisation can see your meetings #

If you use Note AI inside an organisation or workspace:

  • Meetings are scoped to that workspace, and members with the right role can see the meetings shared with them.
  • A workspace owner or administrator can access the meetings that belong to the workspace and can remove members.
  • If your workspace was created for you by your employer, your employer's policies apply on top of this one.

A meeting you record in a personal account is visible only to you unless you share it.

How long we keep it #

DataRetention
Recordings, transcripts and AI outputUntil you delete them, or 30 days after your account is deleted
Account and workspace recordsFor the life of the account
BackupsRolling backups are overwritten within 30 days
Crash and diagnostic logsUp to 90 days
Billing recordsAs long as tax and accounting law requires

Deleting a meeting removes it from the app immediately and purges the audio, transcript and derived data from our storage within 30 days, backups included.

Security #

  • Encryption in transit (TLS) for everything, and encryption at rest for stored audio, transcripts and databases.
  • Provider credentials and secrets are stored encrypted with AES-256-GCM, not in plain text.
  • Access to production data is limited to the engineers who need it, over authenticated connections, and is logged.
  • Data is separated per organisation at the database layer so one workspace cannot read another's meetings.

No system is perfectly secure. If a breach affects your personal data, we will notify you and the relevant authority as required by law.

Your rights #

Depending on where you live — including under the GDPR, the CCPA, and Decree 13/2023/ND-CP in Vietnam — you may have the right to:

  • Access the personal data we hold about you and get a copy.
  • Correct data that is wrong.
  • Delete your account and its content (how to do it).
  • Export your meetings and transcripts in a portable format.
  • Object to or restrict certain processing, and to withdraw consent where processing is based on it.
  • Complain to your local data protection authority.

Email furiaappstudio@gmail.com to exercise any of these. We respond within 30 days and never charge for a first request.

Children #

Note AI is not directed at children. You must be at least 16 years old to use it — or 13, where local law allows it and a parent or guardian consents. We do not knowingly collect data from children below that age; if we learn that we have, we delete it. If you believe a child has given us data, write to furiaappstudio@gmail.com.

Changes to this policy #

We update this policy when the product changes. The effective date at the top always reflects the current version. For changes that materially affect your rights, we will notify you in the app or by email before they take effect.
